FAQs E-Invoicing in Europe

E-invoicing means sending invoice data in a structured, machine-readable format—not PDFs or scans. Under Directive 2014/55/EU, this enables automation, validation, and compliant archiving. Across the EU, this requirement is now combined with mandatory e-reporting, where invoice details must also be transmitted to the tax authority.

E-Invoicing applies to all businesses, as a compliant invoice must be issued in the required electronic structure and—where applicable—reported to the respective tax authorities.

ViDA (VAT in the Digital Age) is an EU initiative that extends mandatory e-invoicing and digital VAT reporting to transactions. The core changes are expected to apply by 2030, with full transition required by 2035 for countries that previously had national e-invoicing laws. Several EU member states have already begun aligning their own regulations with ViDA.

Peppol is a Pan-European and growing international network and specification for the secure exchange of electronic business documents, including e-invoices.

Originally developed for B2G, Peppol is increasingly used for B2B e-invoicing and is part of many national e-invoicing frameworks. fiskaly INVOICE has a direct integration with Peppol.

E-Invoicing is being introduced step by step across Europe, with different timelines and requirements per country. The general direction is clear: mandatory B2B e-invoicing will expand, and systems should be prepared for ongoing regulatory change.

Your systems must support structured invoice formats, secure transmission, and compliant storage. ERP, POS, or billing software typically needs to:

  • Generate standardized invoice data in line with EN 16931 and any applicable country-specific requirements
  • Issue invoices in a structured electronic format
  • Apply digital signatures or seals
  • Report invoice data in real time to the respective tax authorities
  • Track invoice statuses
  • Maintain complete audit trails for all transactions
  • Integrate with public or private exchange platforms

Accepted formats vary by country but are usually based on EN 16931. Common examples include UBL and CII. Unstructured formats such as PDFs are generally not sufficient for compliance.

It is likely that B2B transactions are processed through a POS system, which means e-invoicing compliance becomes an essential part of the workflow. As VAT requirements expand across Europe, POS systems increasingly sit within the invoicing and reporting chain — even when the actual invoice is generated by connected software.
